Why are Volunteers missing required fields or waiver signatures?

Incomplete Volunteer Profiles

Volunteers may have an incomplete profile or a missing signature for a few reasons:

• The volunteer was imported into the Application or a Shift

• The volunteer was manually added to the Application or a Shift

• The volunteer was added as a +1 volunteer during Group Sign-up

• New required questions were added after they completed a previous version of the application

• The volunteer signed up for the shift on the Mobile App

• The volunteer is a minor, and the parent/guardian has not signed

• The Waiver/Disclaimer signatures were Reset

• The Waiver/Disclaimer was added after volunteers had registered

How to manage Incomplete Profiles

Option 1: Send a Broadcast Email Using the {Volunteer Profile Link} Smart Tag

You can create an email template using the {Volunteer Profile Link} smart tag. This tag allows volunteers to access and update their incomplete profiles with a single click directly from the email (see example below).

Once your template is ready:

1. From your menu bar, navigate to Communicate > Send Email

2. Select your newly created (or an existing) template

3. Select/add your Recipients
   
   ‼️ Please note: Be sure to select the correct Recipients based on whether your waiver is attached to the Application or the Event/Program.

4. Under Message Filters, select Only if volunteer is missing required fields.
   
   
   Alternatively, under Message Filters, select Only volunteers that have not signed the waiver/disclaimer
   
5. Choose when to send the message
    

Option 2: Send a Direct Email from the Volunteer Profile

You can send them a direct email to an individual using the same template as in Option 1.

1. Navigate to the volunteer’s profile through Volunteer > Report or Volunteer Search

2. Click the volunteer's name to open the admin's view of the Volunteer's profile

3. Use the "Send an email directly to this volunteer" option in the top right

4. Select your email template from the dropdown menu.

5. Click Send.
