The Broadcast Messaging tool allows you to reach all volunteers or specific groups at once via email or SMS/text.
To send a Broadcast Email or Text Message, follow the steps below.
Send a Broadcast Email
- Navigate to Communicate > Compose & Send Email

Choose a Template or skip to craft your own message

Set Email Details
- Select who the email will come "From"

Create the Subject line
-
Craft your message
Edit the selected template or craft your message.
The editor allows you to enhance your message by adding links, images, and formatted text.
You can also use smart tags to personalize the message, such as:{first name},{event name},{job info}, and{volunteer profile link}. -
Add Recipients
Specify the recipients by selecting:- Application(s)
- Event(s)/Programs(s)
- Specific Job(s) within the Event/Program
- Individual Shift(S)

Set your Filters
Apply any relevant message filters (such as Status or Qualifications).

Choose when to send
Select one of the following options:- Send Now
- Schedule for Later

Save as Draft
If you choose Schedule for Later, you will be prompted to select the date, time, and time zone.

- Navigate to Communicate > Compose & Send Text/SMS

Use smart tags to personalize your message with each volunteer’s information, such as:{first name},{event name}, and{volunteer profile link}.

Add Recipients
Specify the recipients by selecting:- Application(s)
- Event(s)/Programs(s)
- Specific Job(s) within the Event/Program
- Individual Shift(S)

Enable an Email response (optional)
If a volunteer replies to the text, receive the text in the form of an email to the selected user Apply Message Filters
Apply any relevant message filters (such as Status or Qualifications).

Choose When to Send
Select one of the following options:- Send Now
- Schedule for Later

Save as Draft
If you choose Schedule for Later, you will be prompted to select the date, time, and time zone.
View Sent, Scheduled, and Draft Broadcast Messages
Use the Message Center to view sent, scheduled, and draft messages created with the Broadcast tool.
- From the menu, navigate to Communicate > View Sent Email or View Sent Text/SMS
- Update the Date filter to expand the search
Note: The date filter will default to this week - (Optional) Enable the checkbox to Include messages across all users
Note: The setting allows view of messages sent from other users within the account - Click the Search button to apply the filters
- Select the Message filters to view the Sent and Draft/Scheduled messages
‼️ Please note: Email templates sent to individual volunteers through Action Bar > Report View or from the Admin view of the Volunteer Profile do not appear in the Message Center.
All email messages sent to a volunteer can instead be viewed in the Message History section within the Admin view of the Volunteer Profile.
