Email and Text message/SMS templates can be used for the following purposes:
- Sending messages to individual volunteers
- Shift Reminders & Cancellation Notices
- Automated email to Unassigned Applicants
- Message template for Broadcast Emails or Text Messages
- Automated Birthday email for Volunteers
Create an Email Template
From the menu, navigate to Communicate > Email Templates
Click the New Template button at the top right of the page

Provide a Template name: this is how you’ll identify it when using it in your account
💡 Tips:If the template is for a specific Event, include the year/event name in the template name
If the template includes a signature, include their name in the template name
- Select the From (a user), enter a subject, and craft your message
Note: You can make the email be "from" a logged in user with the following toggle. This applies to a logged in user sending an email template to a volunteer by selecting it from the volunteer's profile.
- Create a Subject line
- Craft the message of your Email
Tip: Use smart tags to personalize the message
- Set the Sharing/Access
View + Use: Other users can view, copy, and use the template to send messages.
View Only: Other users can view and copy the template, but cannot use it to send messages.
Private: The template is only visible and usable by you.
Note: For messages triggered by an action (such as checking out), choose View + Use if other users need to trigger the message.
Set the Template owner
Note: An email template has an owner, which defaults to the logged-in user, but can be assigned/updated. Only the owner of a template has editorial control.
Click Create Template to save
Create an SMS Template
From the menu, navigate to Communicate > Text/SMS Templates
Click the New Template button at the top right of the page
Provide a Template name: this is how you’ll identify it when using it in your account

Craft your message (limited to 130 characters).
You can route replies to your email inbox if your text requests a response.
- Check the box to allow other users to access and use your text template.
- Click Create Template to save
