Unassigned Applicants are volunteers who have completed an Application but have not successfully signed up for a job and shift on your Event scheduling page.
‼️ Note: These individuals must have completed the Application via the Event/Programs’ gateway page to be in the Unassigned Applicant list.
View Unassigned Applicants
You can view your Unassigned Applicants with the following steps:
- Navigate to Volunteers > Report
- Select an Event/Program from the dropdown menu
- Scroll to the bottom of the report to find the Unassigned Applicants section
Automated message option
You can choose to automatically send a message to applicants who did not select a shift.
Step 1: Create the email template
From the menu, navigate to Communicate > Email Templates

Create or edit a template for unassigned applicants
Example below:
Hi {first name},
Thank you for completing your Volunteer Application, we’re excited to have you!

Are you still interested in volunteering for {event name}? If so, the next step is to choose your shift.
Click here to sign up: {event link}
Step 2: Enable the automated Email template
From the menu, navigate to Events & Programs > Events & Programs
Scroll to your Event/Program, click Edit Detail
Within Edit Detail, scroll to the Volunteer Application section
Update the email template within Unassigned Applicants
‼️ Please note: Volunteers who do not have the aligned Event/Program Status will not be able to select a shift and will therefore fall into the Unassigned Applicant list and receive the automated email.
Manually sending a message
You can also send messages manually to these volunteers who have not selected a shift.
Navigate to Communicate > Compose & Send Email

Draft your message (including the subject).
This is usually a reminder—for example, include a link to your event/program page. (Example above)Many unassigned applicants don’t realize they haven’t finished signing up.
Creating a reusable template can save time and can also be sent to individual volunteers from their profile.
Under Recipients, select the Event/Program you want the message to go to
Expand Message filters and enable the toggle “Send only to volunteers (Unassigned Applicants) with no shift in the event:” Choose the Event
When ready, schedule or send your message
