You may want to delete an event, program, or application if it was created by mistake or does not contain any data. In most other cases, we recommend archiving these items instead. Archiving removes them from your main view while preserving all associated records for reporting and future reference.
How to Archive or Delete an Event/Program or Application
- From the menu bar, navigate to Events & Programs > Events & Programs or Applications
- Scroll to the Event/Program or Application
Select Edit Detail
Scroll to the bottom of the page
Toggle on Archive & Delete Options
Choose either Archive or Delete
Enable the toggle to confirm
Click the button below
If the event/program includes event dates and those dates have already passed, the option to archive the event will automatically be presented.
Why Archive an Event/Program or Application?
Archiving old items helps keep your interface organized by displaying only current and relevant events/programs and applications, while still preserving historical data for future reference.
When an Event/Program is archived, you can:
Search archived records
Archived events remain searchable for reporting and recordkeeping purposesExport archived data
All associated records are still available for exportCopy the event/program
Archived events and programs can still be copied to create a new versionReview and restore the event at any time
Archived events can be unarchived if needed
When an Application or Event/Program is archived, you cannot:
View it within Volunteers > Report
Send broadcast emails to associated volunteers
View shift details within a volunteer’s profile
