The Admin Check-in Screen is a flexible tool for manually checking volunteers in and out. It is especially useful for large events, as it can be accessed on multiple devices simultaneously, allowing several administrators to manage check-ins.
The Admin Check-In Screen includes customizable display settings and advanced filters, giving you control over which volunteer details appear during check-in. It’s also helpful for reviewing previous check-ins, with the ability to review by day, event, job, or volunteer.

Using the Admin Check-in Screen
To access & use the Admin Check-in:
Navigate to Hours & Attendance > Check-In Screen

From the Check-In Screen, select your Event/Program from the dropdown
[Optional select: Include current & upcoming or All events past & upcoming]Select a date from the date picker (Optional)
Use the search bar to locate a specific volunteer (Optional)
Use the Sort dropdown to organize the volunteer list
Click the Search button, and volunteers will appear
Finding a Volunteer
Quickly locate a specific volunteer or volunteers by using the search fields at the top of the page. You can search by:
First name
Last name
Mobile phone
Email address
Job
Location
Sorting & Display Options
Use the Sort dropdown to organize your results by:
Last name
Job name
Job location
Shift start time (by Job)
Shift start time (by Last name)
You can also customize how your results are displayed:
Results per page: 20, 50, 100, or 250
Status view: All, Checked In, or Not Checked In
Check-in/out a Volunteer
Locate the volunteer you want to check in or out
Click the time clock icon to the left of their name to record the check-in time
The icon will update to show the recorded check-in time
Click the clock icon again to record the check-out time
⏰ Please note: Clicking the clock icon records the current time
Editing or Resetting Check-In/Out Times
Click the check-in or check-out time you want to edit
Make your changes directly in the field
Click Save to confirm the update
Check-in/out Multiple Volunteers
You can use Check-in all and Check-out all to check in or out multiple volunteers at once.
Click Check-in all to check in all volunteers for a specific shift (e.g., 1 PM)
Volunteers included are those within the section breaks
⏰ Please note: Clicking Check-in All or Check-out All will record the shift start or end time as the check-in or check-out time for all volunteers in the section
Viewing a Volunteer Profile from the Check-In Screen
To open a volunteer’s profile, click on their name from the Check-In screen:
From the profile, you can:
View profile and application details
Move or copy the volunteer to another shift
Record hours for a shift that does not exist
Send a one-off email or text message template
View message history
View the volunteer’s service summary
