VolunteerLocal offers five different check-in/out tools to help you track volunteer hours: Self Check-In/Out, Volunteer-Scanned QR Code, Administratively Scanned QR Code, Kiosk, and the Admin Check-In Screen.
These tools are not mutually exclusive and can be used together. Organizations may combine multiple methods depending on their event size, staffing capacity, and overall program style. Some tools may be better suited for large, high-traffic events, while others work well for smaller or more self-directed programs. Below is an overview of each option to help you determine what works best for your organization.
1. Self-check-in/out
Self Check-In/Out is the most hands-off option for administrators. Volunteers log in to their profile (via web browser or mobile app) and check in to their shift with the click of a button.
2. Volunteer scanned QR code
This method requires volunteers to scan a QR code provided at the event or program. The volunteer scans the code, enters their first name and email address, and selects the check-in button.
3. Administratively scanned QR code
With this method, each volunteer presents their personal QR code on their device. An authorized individual (such as staff or a designated volunteer) scans the code to complete the check-in/out process.
4. Kiosk
The Check-In Kiosk is a flexible, self-service solution designed to streamline volunteer check-in at events and programs. It works well for both scheduled volunteers and walk-up participants and can also be used to track visitors and guests.
The kiosk allows volunteers to check themselves in and out without direct administrative assistance. It can also support new volunteer registrations and capture outstanding waiver or disclaimer signatures on-site.
The kiosk functions best on a tablet but can also be used on a desktop or laptop computer.
5. Admin Check-in Screen
The Admin Check-in Screen is a flexible tool for manually checking volunteers in and out. It is especially useful for large events, as it can be accessed on multiple devices at the same time, allowing several administrators to manage check-ins simultaneously.
The Admin Check-In Screen includes customizable display settings and advanced filters, giving you control over which volunteer details appear during check-in. It’s also helpful for reviewing previous check-ins, with the ability to review by day, event, job, or volunteer.
